Establish and maintaincomputerized inventory records of vehicles for sale to include data entry andcontinuing update of vehicle identification, condition and sale processingstatus. Prepare related reports and coordinate activities with accountrepresentatives.

Key Responsibilities

  • Perform data entry ofrequired information in the AS 400 system of vehicle identification number(VIN), and other descriptive information.

  • Manage accountrelationships, maintaining effective communications and ensuring customerrequirements are met

  • Maintain vehicle files

  • Verify title information

  • Log in titles whenreceived

  • Create and file infolders

  • Work with titledepartment to ensure that a negotiable title is obtained for each vehicleassigned to the account

  • Work with posting clerkto ensure completion of recon, transportation, and all other vehicle chargesare applied to the appropriate vehicle in the AS400 system

  • Respond to customerinquiries relating to vehicles

  • Provide quality serviceand assist in resolving problems

  • Mail out sale packagesthe day after sale

  • Pull and updateconsignment inventory information of vehicles transmitted by customer

  • Investigate transmissionerrors

  • Verify vehicleeligibility for the sale and provide customer with inventory reconciliationreport.

  • Communicate withTransportation department in order to arrange required transportation or obtaininformation including transportation condition reports, bills, etc.

  • Pull transmittedtransportation charges as needed

  • Establish customervehicle files in the computer system

  • Update vehicle files ona continuous basis with standardized abbreviations to assure that vehiclelocation, condition, special announcements, and other activities relative tothe vehicle are properly recorded

  • Seek floor priceinformation from account representative and enter it into computer system

  • Review, enter, andupdate vehicle condition report information in the computer system

  • Pull and printelectronic condition reports. Provide customer with copies as necessary. Incoordination with account representative, account operations coordinator, andaccount specific procedures

  • Prepare sale vehicle runprocess including run order, scheduling, notice to customer account, etc.

  • Follow up on vehiclepreparation for the sale by reconciling incoming bills against orderedwork/repairs for each Institutional customer vehicle

  • Contact customercoordinators, service vendors and/or account representative when theinformation is missing or problems occur

  • Communicate withaccounting department in order to balance the sale and perform post- saleinvoicing for accounts receivable as needed

  • Maintain and updatephysical vehicle inventory files that document all activities relative to eachcustomer vehicle, assuring accurate sale processing/closing records

  • Validdrivers license and safe driving record required.

  • Experience 1 - 3 yearsof clerical or administrative experience in the automotive industry preferred
